Outlook (new) doesn’t mail merge with Word

Outlook (new) for Windows doesn’t support Mail Merge from Word. Just one of the many limitations of that software which is still a work in progress.

We’ve heard from a few people that Microsoft has ‘dropped’ mail merge from Word but that’s not true. Word’s Mail Merge has been there for decades and isn’t going away.

Outlook (new) is totally different from ‘classic’ Outlook and does NOT support email merge requests from Word.  In tech terms, Outlook (new) doesn’t support MAPI.

What’s really happened is a side-effect of the premature move to the newer Outlook. It’s not clear when or how mail merge will be added to Outlook (new). It’ll require a major revamp of Word to cope with the fundamentally different basis of new Outlook. In other words, “don’t hold your breath”.

Switch to Outlook (classic)

The solution is to use Outlook (classic) instead. That software should still be installed on a computer and can work alongside Outlook (new), if necessary.

If Outlook (classic) has been removed, reinstall it.  In organizations, you might have to ask your IT department.

Word doesn’t let you choose the program to send emails, you have to do that in Windows.

Change the default Mail app in Windows so that Outlook (classic) is the default. Windows Settings | Apps | Default apps then search for ‘Mailto’.

Make sure the Outlook (classic) has the right default email account that you want emails to be sent from.
