Microsoft is switching off Meeting Insights, the free Outlook feature that automatically shows emails and files linked to your upcoming meetings. From mid August 2026 it starts disappearing, and by early September 2026 it is gone. The catch: the replacement only works if you pay for a Microsoft 365 Copilot license. If you do not, you lose the feature with nothing free to replace it. Here is what changes, who is affected, and whether you actually need to do anything about it.
If you do not have a paid Copilot license, you do not get a replacement. You just lose the feature.
The removal starts mid August 2026 and finishes by early September 2026, per Message Center notice MC1430531.
What Meeting Insights did
Meeting Insights has been around since 2020. It scanned your mailbox and OneDrive, then displayed recently modified files and emails it thought were relevant to an upcoming meeting.
That content appeared privately inside the invite. Other attendees never saw it, though plenty of users panicked because the layout made it look like confidential files had been attached and blasted to everyone.
Two things worth knowing:
- It ran on older machine learning, not the large language model technology behind Copilot. So it retrieved files rather than summarizing them.
- It was on by default and cost nothing extra. That is the part that matters most here.
What this means for you
Do not let the fear of missing meeting prep stampede you into Copilot licenses you were not otherwise planning to buy. For most people, the honest answer is that Meeting Insights was a minor convenience, and losing it is an annoyance rather than a crisis.
If your organization already pays for Copilot: You lose almost nothing. Meeting Insights disappears from invites and the “Prepare for this meeting” panel takes over. It summarizes the meeting, pulls in relevant documents, and suggests action items. All of it stays permission trimmed, so you only ever see content you already have access to.
If you do not have a Copilot license: You lose the feature outright with no free replacement. Come September, your meeting invites simply will not show those surfaced files and emails anymore. There is no toggle to bring it back and no lightweight free version waiting in the wings.
If you are on classic Outlook: The Microsoft advisory does not specifically mention Outlook Classic, which is a notable gap. The replacement lives in New Outlook, Outlook on the web, Outlook Mobile, Outlook for Mac, and Teams. If your team is still on classic Outlook and wants the Copilot experience, that is one more reason Microsoft will use to nudge you off classic.
Why this is really happening
Microsoft’s official line is that Copilot offers a “more intelligent and context aware” experience that can summarize content, tasks, and context instead of just listing files. That is true. Copilot’s version does more.
But let us call this what it is. Microsoft is removing a free, built in convenience and pointing you toward a paid subscription to get something similar back. The feature was not broken. It was not deprecated for security reasons.
Meeting Insights is being retired because the paid alternative exists and Microsoft would like you to buy it.
The irony is that many people disliked Meeting Insights anyway, mostly because of that “did I just leak a document” scare. So Microsoft gets to retire an unloved feature and frame a monetization move as a favor.
