Quick View shortcuts for Outlook

Quickly change between Outlook views using these keyboard shortcuts that work for three different Outlook’s, Windows classic and new plus Outlook for Mac.

With all the changes in Outlook for Windows or Mac, it’s nice to see that some keyboard shortcuts have survived all the upheavals.

This works with both Outlook for Windows classic and new (Ctrl + N) plus Outlook for Mac (Cmd + n)

Switch between Inbox, Calendar, People etc.

The Ctrl key plus a number will jump to the Outlook view, according to the position on the left-hand navigation pane.

MailCtrl + 1

CalendarCtrl + 2

The rest depend on the order of the icons down the column, they are usually:

People / ContactsCtrl + 3

To Do / TasksCtrl + 4

WordCtrl + 5

ExcelCtrl + 6

PowerPointCtrl + 7

The Mail and Calendar icons are fixed in the first and second spots but the rest can be changed. That’s an important point that’s often overlooked in shortcut tips that say People is always Ctrl + 3 or To Do/Tasks in Ctrl + 4.

The shortcut follows the order of the navigation icons not the view or app. In this example, we’ve rearranged the icons and now PowerPoint is third in the list with the Ctrl + 3 shortcut.

That makes these shortcuts easy to remember. Just look at the left-side icons if you need a reminder of which number to press.

Maybe that’s why the tooltips for each navigation icon don’t include a shortcut key reminder?

A pity the shortcut wasn’t expanded to allow ‘Open in New Window’ as well.
