Zoom Docs adds a word-processor with a Magical Key

Zoom has a browser-based word processor to their Workplace range with some interesting features including what they call the Magical Key. Zoom Docs word processor aims to enhance productivity within its collaborative environments.

Zoom Docs is designed to be used within Zoom group calls and many of the templates reflect that.  Brainstorming, meeting agendas, checklists etc. Of course, Zoom Docs can be used individually too.

Zoom argues that having a single platform is better.  Zoom quotes a study showing that “Using a single platform can save 2 hours per week by limiting workflow distractions”.  Unfortunately, you can also use that to justify using Microsoft Teams with its 365/Office integration.

It’s 2024, so Zoom Docs has an AI component. All products are now required to have some AI element <sigh>.

More than one way to …

Zoom Docs shows that the Microsoft Office way isn’t the only way to do word-processing. The Zoom word processor demonstrates alternative methodologies to traditional practices.

Magical Key /

Press the /  key does some interesting things in Zoom Docs.

The / can be followed by keywords to show more commands.  /me lets you insert a file or media.  There’s also /embed to add content from YouTube, Twitter/X, Google Drive etc.

Paragraph handle and menu

Each paragraph and image has a little six-dot handle at left.  Drag the handle to move the paragraph/image around.

Click the handle to reveal a menu of options including Heading styles.

Import Word and Excel in Zoom Docs

Zoom docs can import files in Word (.docx), Excel (.xlsx) .csv. txt and .md The Zoom word processor thus supports a variety of file formats for seamless collaboration.

During Zoom sessions, participants can generate, distribute, and jointly modify documents in real-time without having to navigate away from the meeting interface. Docs are accessible to mobile users who can participate in document collaboration without having to log in. Furthermore, attendees are able to create shareable, editable documents that incorporate tailored meeting details. Sharing permissions allows bulk configurations with temporary collaboration rights to those attending the meeting.

Who gets Zoom Docs?

Zoom Docs is part of paid Zoom Workplace plans. We were able to try it with a free Zoom account from this page and clicking the ‘Get Started’ button.  No indication of how long that free access will last.

Beating Bots, Spies & Cock-ups – Safely & securely send files and documents has a chapter devoted to Zoom and using it safely.
